The resources tool is a central repository for all resources on a Smartabase site, such as documents, videos and images. It is organized by categories, subcategories and tags. Each resource can have descriptors (like title, owner, file type) added to it which allow you to filter search results. Some examples of common resources are training drill videos, exercise guides, recipes and other aids for coaches and athletes.
An administrator determines which people can view, add and delete resources by assigning data permissions for resource categories. Viewing a resource in a category that you have permission to access is a matter of searching for that resource and then downloading it. Adding or removing a resource is carried out using the resource management options; however, people can only add or remove resources from categories for which they have a data permission. If someone doesn’t have permission to manage resources for any category, they won’t be able to use the resource management functions.
Resources can also be added via an event form as an attachment to a record. Attachments can be seen in the sidebar and performance history as well as from the resources tool. Like other resources, attachments are only available to people who have permission to view them.
Searching for a resource
This screenshot shows the resources tool. The initial appearance is blank until the Search button has been clicked. This example shows that a filter has been applied and the only resources which appear in the search results will be ones from the Medical category.
Steps to find and use a resource
- Log in to Smartabase and view your home page.
- Navigate to the resources tool, which may be a button or may be in one of the drop-down menus on the navigation bar depending on your page layout.
- If you know exactly what you’re looking for:
- Specify which filter you want to use.
- Click Search.
- Find the resource you want in the resulting list.
- Select the resource.
- Click Download file.
- If you don’t know exactly what you’re looking for:
- Leave the filter fields blank.
- Click Search.
- Find the resource you want in the resulting list.
